Workflow overview

A guide to automating event tasks in 3Common using triggers and actions so hosts can save time and keep events running smoothly.

Who this is for

Hosts and team members who want to automate common event tasks at the event level.

Quick steps

  1. Go to Dashboard then Event Overview then Event Workflows.
  2. Click Create Workflow and give it a clear name and description.
  3. Choose an occurrence type: One Time or Persistent.
  4. Pick a trigger to decide when the workflow runs.
  5. Add one or more actions to define what happens.
  6. Save as Draft to review, or Switch to Active to start running.

What is a workflow?

The Workflow Builder allows you to automate repetitive tasks using simple, customizable rules.

Each workflow consists of a Trigger (when something happens) and one or more Actions (what should happen next).

Workflows can be configured for a specific event or applied globally. This page focuses on event-level workflows created from your event's overview page.

Creating a workflow

  1. From your Event Overview, open the Workflows tab.
  2. Click Create Workflow.
  3. Enter a Workflow Name and optional Description to help identify its purpose.
  4. Choose the occurrence type:
    • One Time — runs only once when first triggered.
    • Persistent — runs every time the trigger occurs.
  5. Click on a trigger from the left-hand panel to begin building your workflow.

Triggers

Triggers determine when your workflow starts. You can select from the following options.

Item Sold Out

Fires when a ticket or item in your event sells out. This trigger runs once when that item's quantity reaches zero.

Common use case: automatically show a hidden ticket when another ticket sells out.

Order Made

Fires when a new order is completed for your event. No filters are needed — it applies to any order created under that event.

Use this trigger with the Send Email action to automatically follow up with attendees.

Personalize with merge tags

Use merge tags like order.name, order.email, order.ticket_link, or order.event.name to personalize your messages.

Days Before or After Event

Fires a set number of days before or after your event's start date. Ideal for scheduling reminders or follow-up messages.

Examples:

  • Send a reminder email 2 days before your event.
  • Send a thank-you email 1 day after your event.

Actions

Once a trigger is added, choose an action to define what happens next. Each workflow can include multiple actions, chained together.

Update Item Visibility

Changes a ticket or item's visibility between Hidden and Visible. Helpful for staged ticket releases, waitlist activations, or unlocking VIP passes.

Example: when Early Bird tickets sell out, automatically show General Admission.

Send Email

Sends a customized email to your event's attendees, team, or other recipients. You can personalize emails using template variables:

Variable Description
order.name Customer name for the order
order.email Customer's email address
order.ticket_link Direct link to their ticket(s)
order.event.name Event name
order.product.names List of purchased products
order.tickets.pdf Attaches a PDF with QR codes and ticket info

Saving and activating workflows

At the top-right of the builder, you will see two options:

  • Save as Draft — saves your setup without running it.
  • Switch to Active — activates your workflow; it will now run whenever triggered.

Drafts do not execute

Draft workflows will not execute until switched to Active.


Editing and managing workflows

  • You can edit workflows even while they are active.
  • To change triggers or actions, open the workflow and update the relevant settings.
  • You can create multiple workflows per event, each handling different automations.

Example use cases

  1. Early Bird to General Admission — Trigger: Item Sold Out (Early Bird Ticket). Action: Update Item Visibility (General Admission Ticket).
  2. Pre-event reminder — Trigger: Days Before Event (2 days). Action: Send Email (reminder message to attendees).
  3. Post-event follow-up — Trigger: Days After Event (1 day). Action: Send Email (thank-you note plus ticket PDF).
